Reports and returns

Reports that agree with the books

Every report reads the ledger, so the statement a member holds, the board’s portfolio report and the regulator’s forms all say the same thing.

Every day

Member statements, the cash book, the trial balance, the teller’s end of day, and registers of members, shares, savings and loans, as PDF and Excel.

The loan portfolio

Portfolio at risk at 1, 30, 60 and 90 days, aging, arrears by officer, provisions on the regulation’s bands, and the guarantor and insider reports.

The regulator’s forms

A late monthly return costs UGX 500,000, plus UGX 200,000 for each further working day. Akiba Ledger is designed to prepare the forms from the books in the regulator’s line order.

  • UMRA Forms 1 to 7 and the monthly statement of savings, as Excel and PDF.
  • The Registrar’s annual return and the quarterly report on the portfolio and sustainability.
  • A calendar of due dates with reminders before each one.

You check and file the forms yourself: filing straight to the regulator’s portal is not in the first release. The regulator’s name is a setting, so a change of regulator never needs new software.

Year-end, dividends and the AGM

The year closes on 31 December. The surplus is shared out within the legal rules: at least 10% to the reserve, 1% to the education fund, and dividends of at most 10% of paid-up shares, only with the Registrar’s consent recorded. The AGM pack is drawn from the same figures.
