Members and KYC
Every member, known and counted once
From the application to the day a member leaves, with the identity checks a SACCO needs and the care member data deserves.
The member register
A member number for each person, or for a group that is a member, with their phone, address, occupation, next of kin and photo.
- Applicant, active, dormant, suspended or exited: one clear status for every member.
- Groups as members: an enterprise group or an Emyooga association can join as one member.
- Your plan counts members, never transactions: a deposit is never refused for a plan limit.
The NIN, handled with care
The National Identification Number is the key for knowing your member, and it is financial data, special under the Data Protection and Privacy Act 2019.
- Stored encrypted, with a separate check that finds a duplicate without showing the number.
- Never in logs, exports or on phones, except an audited list for the regulator.
- ID scans only with consent, and a national ID, passport, ATM card or passbook is never taken as security for a loan.
Consent, written down
Each member agrees to how their data is used and where it is kept, with separate choices for messages and for the credit bureau. The wording is versioned, so you know what each member agreed to.
Start with the balances you have
Moving from a book, a spreadsheet or another system: import members with their opening shares, savings and loan balances from a spreadsheet, check the preview, and the books open balanced.
When a member leaves
Savings are paid out, loans settled, and shares transferred to another member or bought back through the Share Transfer Fund, each by a journal. The member’s history stays as it was.
Questions about members and kyc
More on the questions page.
Do members need a smartphone?
No. A member with any phone gets SMS receipts within your plan’s allowance. Members with a smartphone can also check their own balances in the app.
Can we bring members from our old system?
Yes. The first release imports members and opening balances from a spreadsheet, so any group can start with correct balances. A direct transfer from another system is not part of it.
